In-House vs NIST-Traceable Calibration Certificate: Which Does Your Scale Need?
Short answer: both options calibrate your scale and include a certificate. An in-house calibration certificate ($95 and up at MNM Scales) shows the scale was calibrated and verified with NIST-tested weights, which is all most businesses, reloaders and hobbyists need. A NIST-traceable calibration certificate ($395 and up) documents traceability back to national standards for auditors, quality systems, pharmacies and labs. If someone is asking you for a certificate, ask whether it has to say “NIST traceable”. If it does, choose the NIST option.
“Can you send a NIST certificate with the scale?” is one of the questions we hear most. The answer is yes, but it helps to know what you’re actually buying, because the two certificates do different jobs. Here’s a plain-English guide to calibration certificates, NIST traceability and which one fits your situation.
What “NIST traceable” actually means
NIST (the National Institute of Standards and Technology) maintains the national measurement standards in the United States. A measurement is traceable when it can be related to those standards through a documented, unbroken chain of calibrations, each with a stated uncertainty. For a scale, that chain runs from your scale, to the test weights used to calibrate it, to the standards those weights were calibrated against, and back to NIST.
NIST doesn’t issue certificates for individual scales. A “NIST certificate” for a scale is a calibration certificate from a calibration provider that documents this traceability.
In-house vs NIST-traceable: side by side
| In-house calibration with certificate | NIST calibration with NIST-traceable certificate | |
|---|---|---|
| Starting price at MNM Scales | $95 (up to 2.2 kg) | $395 (up to 2.2 kg) |
| Scale is calibrated and verified | Yes, with NIST-tested weights | Yes, full calibration |
| Certificate included | MNM Scales calibration certificate | NIST-traceable calibration certificate |
| Documents traceability to national standards | Calibrated with NIST-tested weights | Yes, documented on the certificate |
| Best for | Most businesses, shipping, food, reloading, jewelry, schools and general testing | Pharmacies, dispensaries, labs, manufacturers with QC programs, audits and contracts |
| Turnaround (mail-in) | Usually 1 to 3 business days | Usually 1 to 3 business days |
Who needs a NIST-traceable certificate?
- Pharmacies and compounding, where inspectors or SOPs ask for documented calibration.
- Labs and manufacturers under ISO 9001, GMP or customer quality requirements, which call for measuring equipment to be calibrated against standards traceable to national standards.
- Cannabis and dispensary operations subject to state program rules.
- Government, military and aerospace contracts that specify traceable calibration in the purchase order.
- Anyone whose auditor, inspector or customer asks for “NIST traceable” in writing.
If none of these apply and you simply want to know your scale is accurate, with a record that it was checked, the in-house calibration certificate is the economical choice.
What to look for on a calibration certificate
Whichever option you choose, a useful calibration certificate typically identifies:
- The scale: make, model, serial number and capacity (and your asset ID if you use one).
- The date of calibration, and the due date if you track one.
- The test loads applied and the readings recorded.
- The reference weights or standards used, and for NIST-traceable work, their traceability.
- Who performed the work.
Need something specific on your certificate, such as your asset number, as-found and as-left readings, or a particular test point? Tell us when you order and we’ll match the certificate to your requirement.
Legal for trade is a separate question
A calibration certificate documents accuracy. Using a scale to buy or sell by weight is a different requirement: the scale must be NTEP approved for that use and placed in service, calibrated and sealed by a registered service agency. MNM Scales is TDA licensed with registered technicians and can place devices in service in Texas. Shopping for a legal-for-trade scale? Browse our NTEP legal-for-trade scales.
Calibration and certificate prices by capacity
The tier is based on your scale’s maximum capacity (the highest range on dual-range models). A capacity exactly at a limit stays in the lower tier.
| Maximum capacity | In-house calibration with certificate | NIST calibration with NIST-traceable certificate |
|---|---|---|
| Up to 2.2 kg (about 5 lb) | $95 (add to cart) | $395 (add to cart) |
| Over 2.2 to 6.2 kg | $195 (add to cart) | $495 (add to cart) |
| Over 6.2 to 35 kg | $250 (add to cart) | $595 (add to cart) |
| Over 35 to 150 kg | $350 (add to cart) | $750 (add to cart) |
| Over 150 kg (floor and large platform scales) | $495 (add to cart) | $995 (add to cart) |
Add calibration to a new scale order and the scale ships calibrated with its certificate. For scales you already own, mail-in calibration is available nationwide and usually takes 1 to 3 business days, and we calibrate on-site across the Houston area for a $295 service call plus $2 per mile round trip, with our technicians bringing their own test weights. Keep your scale in check between calibrations
A certified calibration weight lets you check your scale daily or weekly in seconds, so you know it’s still in tolerance before the next certificate is due. To pick the right class, see calibration weight classes explained. Step-by-step guides: A&D FX-120i, A&D EK-1200i, LP7515 floor scale indicator, crane scales and floor scales.
Why MNM Scales
MNM Scales has been in business for over 30 years, is one of the largest scale distributors in the country and is an authorized dealer for the brands we sell. Our TDA-certified technicians calibrate everything from micro balances to crane scales, and the same team sells, calibrates and repairs your scale. See all scale services.
Not sure which certificate you need? Send us your auditor’s or inspector’s requirement and we’ll recommend the right one.
Frequently asked questions
What is a NIST-traceable calibration certificate?
It is a calibration certificate that documents an unbroken chain of calibrations from your scale, through the test weights used, back to the national standards maintained by NIST.
What is the difference between an in-house and a NIST-traceable calibration certificate?
Both include calibration and a certificate. An in-house certificate shows the scale was calibrated and verified with NIST-tested weights. A NIST-traceable certificate documents traceability to national standards for auditors, quality systems and regulated work.
Does NIST certify scales?
NIST maintains the national standards but doesn’t issue certificates for individual scales. A NIST-traceable certificate comes from a calibration provider that documents traceability to those standards.
Do I need a NIST-traceable certificate?
You need one if an auditor, inspector, quality system, state program or customer contract asks for NIST traceability, which is common for pharmacies, labs, manufacturers and government contracts. Otherwise an in-house calibration certificate is usually enough.
How much does a NIST calibration certificate cost?
At MNM Scales, NIST calibration with a NIST-traceable certificate starts at $395 for scales up to 2.2 kg, with higher tiers by capacity. In-house calibration with a certificate starts at $95.
Can I get a calibration certificate with a new scale?
Yes. Add the matching calibration tier to your order and the scale ships calibrated with its certificate.
