Scale Maintenance Program for Industrial Floor, Bench and Crane Scales

Reviewed by MNM Scales technicians · Updated November 1, 2026 · Prices checked November 1, 2026

Short answer: a scale maintenance program keeps industrial floor, bench and crane scales reading true between calibrations. Operators clean and zero-check the scale each shift, a lead inspects cables, load cells and the junction box each week, a quarterly known-weight check catches drift early, and a planned technician visit tests, adjusts and certifies each scale. Write every check down so it is ready for an audit. For a planned visit or a repair in Greater Houston, call (832) 290-3120 or ask for a quote.

This guide sets out a preventive program for industrial scales: what operators check daily, weekly and quarterly, what a planned maintenance visit includes, which records auditors ask to see, and when a fault needs a repair call. MNM Scales has calibrated and repaired scales for over 30 years from our shop in Cypress, Texas.

What a scale maintenance program covers

A good scale maintenance program lists every scale on site and gives each one an owner, a check routine and a record. Start with:

  • The scale list: location, type (floor, bench or crane), make, model, serial number, capacity and division.
  • Use: whether the scale weighs for trade, for process control or for internal counts, since trade scales follow Texas rules.
  • Test weights: a known weight for each scale’s routine check, kept clean and stored with the scale or in one place.
  • Owners: who runs the daily, weekly and quarterly checks, and who calls for service.
  • Records: one log per scale, kept where operators can reach it.

Daily scale checks

Daily checks take a minute at the start of a shift and catch the problems that cause wrong weights that day:

  • Clean: clear debris from the deck, pan or hook and from the gaps around a floor scale deck so nothing bridges between the deck and the floor or frame.
  • Zero: with nothing on the scale, it should read zero. Note any scale that will not hold zero.
  • Free movement: make sure a floor or bench platform is not touching a wall, ramp, guard or pallet, and a crane scale hangs free.
  • Display and power: check that the display is readable, the keys respond and the battery is charged.
  • Level: on bench scales with a level bubble, check that the bubble is centered.

Weekly scale checks

  • Cables: look along the load cell and indicator cables for cuts, crushing or pinching, especially where forklifts or carts cross a floor scale’s home-run cable.
  • Junction box: on floor scales, check that the junction box lid is closed and sealed and there is no moisture inside.
  • Load cells and feet: look for damage, buildup or standing water around load cells and leveling feet.
  • Crane scales: look over the hook, shackle and latch for wear or damage, and confirm the remote works.
  • Spot check: place a known weight on each scale and note the reading in the log.

Quarterly scale checks

  • Known-weight check across the range: weigh known weights at low, middle and high points and compare each reading with the last check.
  • Corner check on floor and bench scales: place the same weight on each corner. Readings that differ point to a load cell, foot or junction box problem.
  • Repeatability: weigh the same item a few times and confirm the readings match.
  • Review the log: look for a slow change in readings, repeat zero problems or damage notes, and book service before drift becomes a wrong weight.

How often a scale needs full calibration depends on its use and environment; our guide on how often a scale should be calibrated covers that. For the full step-by-step floor scale procedure, see how to calibrate a floor scale, and for hanging scales, crane scale calibration.

What a planned maintenance visit includes

When our technicians come on-site, the visit follows the same steps listed on our service pages:

  1. We confirm the scale list, capacities and access before arrival.
  2. We check each scale’s condition, level, cabling and load cells.
  3. We test with certified test weights across the range, adjust and retest. Our technicians carry their own certified test weights for floor, pallet and crane scales.
  4. Each scale gets a certificate, in-house or NIST-traceable.
  5. Any repairs found are quoted before work starts.

Calibration is priced per scale, and on-site service is $295 + $2 per mile per visit, round trip, charged once per visit. Details are on our industrial scale calibration in Houston page.

Scale maintenance records for audits

Auditors and inspectors look for proof that each scale is checked and corrected. Keep one log per scale with:

  • Scale ID, location, make, model, serial number, capacity and division.
  • Date, time and the name of the person who ran each check.
  • The test weight used and its ID, with the reading and any difference.
  • What was found and what was done, such as cleaning, a cable repair or a service call.
  • Calibration certificates from each technician visit, filed with the log.

Certificates come as in-house or NIST-traceable; see NIST vs in-house certificates to decide which your auditor expects.

When to call for scale repair

Stop using the scale and call for service when you see:

  • A scale that will not hold zero, drifts while a load sits on it, or shows an error code.
  • Corner readings that differ, or a known weight that reads outside your tolerance.
  • A cut or crushed cable, a wet junction box, or a load cell that was overloaded or hit.
  • A blank or dim display, dead keys, or a battery or adapter that will not hold a charge.
  • On a crane scale, a damaged hook or shackle, or a reading that jumps while the load hangs still.

Our technicians trace the fault through the indicator, cable, junction box and each load cell, in our Cypress shop or on-site. See scale repair in Houston, crane scale repair for hanging scales, and how to test a load cell for the checks we run. The repair line, (832) 290-3120, is answered 24/7.

Rules: scale maintenance, NTEP and Texas

Scales used to buy or sell by weight in Texas are commercial devices and need to stay legal for trade, so a maintenance log and current certificates matter most on those scales. TDA does not require an NTEP certificate for every device, but the scale must meet NIST Handbook 44 and suit its use; some scales do need one, so we recommend NTEP models and can check yours. Our TDA-registered technicians can place a repaired trade scale back in service. See our NTEP guide, TDA scale certification guide and legal-for-trade calibration in Texas.

Frequently asked questions

What is scale maintenance?

Scale maintenance is the routine cleaning, inspection and known-weight checking that keeps a scale reading true between calibrations, plus the technician visits that test, adjust and certify it.

What should be checked on an industrial scale each day?

Clean the deck, pan or hook, confirm the scale reads zero when empty, make sure the platform is not touching anything, and check the display and battery.

How do I check a floor scale for load cell problems?

Run a corner check: place the same known weight on each corner and compare the readings. Readings that differ point to a load cell, foot or junction box that needs service.

What does a planned scale maintenance visit include?

Our technicians confirm the scale list and access, check each scale’s condition, level, cabling and load cells, test with certified weights across the range, adjust and retest, issue a certificate for each scale and quote any repairs.

What records should I keep for a scale audit?

One log per scale with its ID and details, the date and person for each check, the test weight and reading, any action taken, and the calibration certificates from each visit.

How much does an on-site scale service visit cost?

On-site service is $295 + $2 per mile per visit, round trip, charged once per visit, and calibration is priced per scale.

Is there a maintenance checklist for lab balances?

Yes. Analytical and lab balances have their own routine; see our analytical balance preventive maintenance checklist.
